Roles and Session Visibility

Navaid uses company roles to control administration and session access. Permissions apply only while a membership is active and are evaluated separately for each company.

Company roles

Consultant is treated as an Admin-equivalent role for company administration. Manager is an oversight role: it can see company sessions and the Company area, but it is not an Admin-equivalent user-management role.

System Admin is a platform-wide account privilege, not a normal company membership role.

Session ownership

For an individual session:

  • the creator owns the session;
  • its owner can continue an active conversation;
  • a User sees sessions they own;
  • a User also sees group sessions in which they participate;
  • Manager, Admin, Consultant, and System Admin roles can see all sessions in the active company; and
  • a session owned by someone else opens read-only.

The read-only composer states that you can read but not reply. Opening another person's active session does not let you impersonate its owner.

Group sessions

Group sessions add participant visibility:

  • the owner creates and controls the session;
  • invited participants can join and contribute while the session is active;
  • participants can find the session from Sessions even if they are ordinary Users;
  • only the owner can finish it; and
  • finishing ends it for everyone.

Shared company outcomes

Transcript visibility and company readiness are different.

The company's:

  • Maturity Map;
  • Tasks;
  • Progression;
  • company facts and learnings; and
  • many aggregate usage measures

are company resources. An authorised session contribution can affect those shared resources. A colleague may therefore see the resulting maturity level or task without having permission to post in your individual conversation.

Company knowledge and documents

The Company page is available to Manager-level and higher roles. Admins, Consultants, and System Admins have the intended company-administration permissions. Managers may inspect company context and usage but should not be assumed to have user-management authority.

Uploaded documents can inform later sessions when Use company knowledge is selected. Before uploading, confirm that every person with relevant company access may handle the material.

Portfolio visibility

Eligible users can receive the multi-company Overview:

  • System Admins with multiple active companies;
  • Consultants, depending on the Overview feature configuration; and
  • eligible multi-company Admins when enabled.

Overview shows aggregated company readiness and tasks for authorised memberships. It does not grant access to an unrelated company.

External sharing

The application contains a read-only public viewer for an existing valid share token. The current summary interface does not provide a button to create or manage such links.

If someone gives you a public session URL, possession of the token can be sufficient to view the shared content. Treat such links as sensitive. See Shared Sessions.

Account and company isolation

  • Another company's ordinary members cannot browse your company's authenticated data.
  • Switching companies changes the active data scope.
  • Removing or suspending a membership removes its role-derived access.
  • Deleting your personal account is different from deleting a company.
  • Downloaded PDFs, JSON exports, and CSV files leave Navaid's access controls; protect them using your organisation's policies.

Practical privacy guidance

  1. Check the active company before contributing.
  2. Avoid entering unnecessary personal or highly sensitive data.
  3. Use company knowledge only when the prior context is appropriate for the new session.
  4. Remember that elevated colleagues can inspect company sessions.
  5. Review recipients before sending exported files.
  6. Report an incorrect role or unexpected session visibility to a company administrator.

Troubleshooting access

I can see a session but cannot type

You have company-wide viewing rights but are not the owner, or the session has completed.

I cannot see Company

Your active role is User, or the membership is not active. Switch companies if you expected a different role.

I cannot invite people

Manager can see the Company page but is not an Admin-equivalent role. Ask an Admin, Consultant, or System Admin.

I cannot see Overview

Overview has additional company-count and feature-flag rules. See Multi-company Overview.
