Users, Roles and Invitations
Use Company → Users to manage active members and pending invitations for the selected company.
Access prerequisite
Company Admins and Company Consultants have member-management permissions. Consultants have Admin-equivalent authority and may administer multiple companies. System Admins can also manage a selected company.
Company Managers can see company-level information but should not be treated as membership administrators. Company Users do not see the Company page.
Review active members
The member table shows:
- name and email;
- company role;
- joined date;
- role and removal actions when authorised.
An account can appear in multiple companies with a different role in each. A role change here applies only to the selected company.
Export members
- Open Company → Users.
- Select Export CSV.
- Save the downloaded file.
The export contains company member data. Handle it as personal data: store it in an approved location, share it only with authorised colleagues, and remove temporary copies when no longer required.
Change a role
- Locate the member.
- Open the role selector.
- Choose Admin, Consultant, Manager or User.
- Wait for the table to update.
Role changes take effect for subsequent permission checks. Ask the member to refresh if their open navigation does not update.
Choose the least-privileged role
- Use User for people running their own sessions.
- Use Manager when they need company-wide session visibility without member administration.
- Use Admin for trusted company owners.
- Use Consultant for trusted advisers who administer one or more client companies.
Before demoting or removing the last practical company administrator, arrange a replacement. Do not assume Navaid will automatically transfer ownership.
Remove a member
- Locate the member.
- Select Remove.
- Read the warning.
- Confirm.
Removal revokes active access through that company membership. It does not erase the company’s historical sessions, messages, maturity state, tasks or usage records.
Removing a person from one company does not delete their account or other company memberships.
Invite a member
- Select Invite User.
- Enter the person’s email address.
- Choose a role.
- Select Send Invitation.
- Note any email-delivery warning.
The invitation is tied to that email. The recipient must sign in with the same address and accept it within 14 days.
If the email notification cannot be delivered, the invitation record may still have been created. Check Pending Invitations before sending duplicates.
Allowed email domains
Some companies have an email-domain allowlist. If configured, an invitation is accepted only when the address domain is on that list. Enforcement occurs at the platform layer as well as in the page workflow.
There is no domain editor on this tab. Ask the platform operator if the company’s allowlist needs changing.
Pending invitations
The Pending Invitations area shows:
- invitee email;
- assigned role;
- invitation date;
- pending status;
- cancel action.
Cancel an invitation if it was sent to the wrong address, assigned the wrong role or is no longer needed. Cancellation invalidates the invitation; it does not delete an account that already accepted it.
Expired invitations cannot be accepted. Cancel the old record and send a new one.
What the recipient experiences
- They open the invitation link.
- Navaid displays the company and offered role.
- If signed out, they sign in or create their passwordless account.
- Navaid verifies the signed-in email matches the invitation.
- They accept.
- The company becomes available in their company selector.
Visibility implications
- Admins, Consultants and Managers can view company sessions.
- Users see sessions they own and group sessions they joined.
- Administrators opening somebody else’s session get a read-only experience.
- Company facts, maturity, tasks and knowledge are shared company state, not private per-user profiles.

Troubleshooting
“Email domain not allowed”
Use an approved company-domain address or ask the platform operator to review the company allowlist.
The invitee sees an email mismatch
They are signed in with a different address. They must switch account and sign in with the invited email.
The email never arrived
Check the pending list, verify spelling, ask the recipient to check spam, then cancel and re-send. Escalate persistent delivery failures to the platform operator.
A removed member still sees the company
Ask them to refresh or sign out and back in. Confirm the membership was removed from the intended company.
A role change appears ineffective
Confirm the active company. Roles are per-company, and an open page may need a refresh.
