Company Usage
Use Company → Usage to review activity and AI consumption for the currently selected company.
Who can view it?
The Company page is available to Company Admins, Consultants and Managers, and to System Admins. Usage is company-scoped and includes member and session information, so export or share it only with authorised people.
30-day trend
The trend shows daily token totals for the latest 30 days and the number of recorded requests. Use it to identify sustained increases, quiet periods and unusual spikes.
A spike is not automatically a problem. It may correspond to a long session, summary generation, competitor work, Aida or another AI feature.
Summary cards
The page shows:
- Total Members
- Total Sessions, with active/completed breakdown
- Total Tokens, split into input and output
- Estimated Cost
The cost is an application estimate for operational monitoring, not an invoice.
Monthly ledger
The monthly table is based on the authoritative aggregated token-usage records. For each month it shows:
- tokens used;
- estimated cost;
- request count.
Use the ledger when comparing month-to-date usage with company defaults. Be careful when comparing a partial current month with a completed prior month.
Per-member breakdown
The member table shows:
- member identity;
- session count;
- tokens used;
- estimated cost;
- approximate budget-used indicator.
The visible budget percentage is a convenience indicator. Server-side enforcement checks the effective input and output limits separately, so it may not exactly match a simple combined-token percentage.
Recent sessions
Recent sessions identify the member, date and token total. Open the Sessions page for full search, filters, status and conversation access.
Members with company-wide session permission can inspect another member’s session read-only. Ordinary Users do not gain access to colleagues’ private sessions through this report.
Investigate unexpected usage
- Confirm the correct company is selected.
- Identify the date range in the 30-day trend.
- Compare with the monthly ledger.
- Review the per-member table.
- Inspect recent sessions and their token totals.
- Consider non-session AI features used in the same period.
- Compare provider billing for financial reconciliation.
Do not infer misconduct from token totals alone. Ask the member about legitimate work before taking action.
Budget relationship
The Usage tab reports consumption; it does not itself edit limits.
- System Admins set company defaults in Company → Settings.
- The System Admin Budgets master switch controls whether monthly company/user limits are enforced.
- Users see an input-budget indicator only above 50% usage.
- Server enforcement checks both input and output.

Data and privacy
Usage records may contain names, emails, session titles, dates and activity measures. Treat CSV exports and screenshots as personal and commercially sensitive information.
The Usage page does not expose message content directly. Opening a session is a separate permission-checked action.
Troubleshooting
Today’s activity is missing
Refresh after the underlying AI operation finishes. Aggregated usage and the current page may update at different moments.
Totals differ between sections
Sections can use different scopes—for example lifetime sessions versus a 30-day trend or current month ledger. Compare like-for-like ranges and distinguish input/output from combined tokens.
Cost differs from the provider invoice
Navaid uses an estimate. Provider prices, rounding and billable categories can differ. Use provider billing as authoritative.
A member’s budget percentage looks unusual
The table’s percentage is approximate, while the server evaluates input and output limits separately. Review both effective limits with a System Admin.
