Company Administration
Company Administration is the workspace for managing the company that is currently selected in Navaid. It brings together company identity, members and invitations, usage reporting, and the shared knowledge that Navaid uses during sessions.

Who can open Company Administration?
The Company item appears in the left navigation for:
- Company Admins
- Company Consultants
- Company Managers
- System Admins
Company Users do not see the Company item.
Seeing the page does not give every role the same ability to change data. Company Admins and Company Consultants have the normal company-administration permissions. Company Managers can use the company-level visibility relevant to their role, but administrative writes remain permission-checked. System Admins can administer any company they can select.
If you belong to more than one company, check the company name at the top of the navigation before making a change. Company settings, invitations, usage and knowledge all apply to the currently selected company.
The four company roles

A System Admin is a platform-level role rather than a company membership role. System Admins can open the separate System Admin area and can also work within selected companies.

The four tabs
Settings
Use Settings for the company name and logo. System Admins also see the company’s default monthly input and output token budgets here.
The logo appears in the Navaid navigation for members of that company. Uploading a new logo replaces the displayed company identity; removing it returns to the generated initials.

Users
Use Users to:
- review active members and their roles;
- export the member list to CSV;
- change a member’s company role;
- remove a member;
- invite a new Admin, Consultant, Manager or User;
- review and cancel pending invitations.
Invitations are email-specific and normally expire after 14 days. An invitee must sign in with the same email address to accept the invitation.

Usage
Use Usage to understand recent activity and month-to-date AI consumption. The page includes:
- a 30-day usage trend;
- total members, sessions, input/output tokens and estimated cost;
- monthly token and request totals;
- a per-member breakdown;
- recent sessions.
Usage data is for monitoring and investigation. Budget enforcement is explained separately in Token budgets.

Knowledge
Use Knowledge to inspect and maintain the shared context Navaid has learned about the company.
The Overview subtab contains company facts, accumulated learnings and provenance/history. The Documents subtab contains reference files and administrator-authored notes. Uploaded documents can be downloaded or removed by authorised administrators.
The company’s readiness picture is no longer shown in this tab. Use Maturity Map in the main navigation for that.

Common workflows
Onboard a colleague
- Confirm the correct company is selected.
- Open Company → Users.
- Select Invite User.
- Enter the colleague’s email address.
- Choose the least-privileged role that supports their work.
- Send the invitation.
- Ask them to open the email, sign in with that exact address and accept within 14 days.
If they already have a Navaid account, accepting adds this company to their existing account. It does not create a separate login.
Give a consultant access
Invite the person with the Consultant role. Consultants have company-admin-equivalent permissions and may administer multiple companies, so grant this role only to trusted people.
Investigate high usage
- Open Company → Usage.
- Compare the 30-day trend with the monthly ledger.
- Review the per-member breakdown.
- Open recent sessions to understand which activity generated usage.
- If limits need changing, ask a System Admin to review the company defaults and the platform budget configuration.
Correct company context
- Open Company → Knowledge.
- Review facts and learnings in Overview.
- Edit inaccurate facts or add an administrator note/document.
- Review history to understand where a value came from.
Corrections affect future AI context. They do not rewrite historical conversations or completed summaries.
Troubleshooting
The Company item is missing
You are probably a Company User, your membership is not active, or the wrong company is selected. Ask a Company Admin to confirm your membership and role.
A change is rejected
Administrative operations are enforced by server and database permissions, even if a control is visible. Confirm that you are an Admin, Consultant or System Admin for the selected company.
An invitation was not received
Confirm the email address, ask the recipient to check spam, and verify the invitation still appears under Pending Invitations. Cancel and send a fresh invitation if the original has expired.
Data appears to belong to another client
Stop before making changes and switch to the intended company from the company selector. Each tab is scoped to the active company.
