Company Knowledge and Documents
Company Knowledge is the shared context Navaid has accumulated about the selected company. It helps later conversations remain consistent across team members.
Open Company → Knowledge. The page has Overview and Documents subtabs.
Access and shared scope
Admins, Consultants and System Admins can edit knowledge and manage documents. Managers can review available company context but do not receive administrative write authority merely by seeing the page.
Knowledge is company-wide. A correction can influence future sessions run by any member of that company.
Overview: company facts
Facts can include company identity, product positioning, home market, target customers, stage and other structured or free-form attributes extracted from sessions.
To correct facts:
- open Overview;
- select Edit in Company Facts;
- change only inaccurate or outdated values;
- select Save;
- verify the history records the new version.
Use concise factual statements. Do not insert speculative advice into a factual field.
Edits affect future context. They do not rewrite historical messages, prior maturity decisions or completed summaries.
Overview: learnings
Learnings are notable insights accumulated from company activity. Authorised administrators can remove an obsolete learning.
Before removing one, check its text, source and date. Deletion removes it from future shared context but not from historical conversations that already used it.
Knowledge history and provenance
The history timeline records versions, change source, time and—where available—the person responsible. Use it to answer:
- when a profile changed;
- whether it came from a session, upload or manual edit;
- who made an administrative correction;
- which version is current.
History supports transparency but is not a complete legal audit log.
Reset the company profile
Authorised administrators can use the danger-zone reset after confirmation. Resetting clears the accumulated company-profile facts and learnings managed by this surface and restarts their extraction state.
It does not mean that every company record, session, maturity dimension, task, usage entry or uploaded-file record is deleted. Use the specific deletion workflow for the data you intend to remove.
Because reset affects future context for the whole company:
- export or record any facts you need to preserve;
- confirm the correct company;
- explain the reason to stakeholders;
- reset;
- run a controlled session to rebuild accurate context.
Documents: add typed information
Admins and Consultants can type additional company information and ask Navaid to synthesise it into the profile.
Use this for concise, authoritative notes. The AI may structure or merge the information rather than reproducing it word-for-word, so review the resulting facts.
Documents: upload reference files
The upload workflow supports PDF, DOCX, PPTX and plain-text-style files accepted by the document extractor. Navaid extracts text, synthesises company information and records the upload in document history.
- open Documents;
- choose a supported file;
- wait for extraction and synthesis;
- review any truncation warning;
- inspect updated facts and history.
Large files can be truncated for processing. Upload focused source material rather than an indiscriminate archive.
Optional original-file storage
When the platform’s document store is configured, administrators see a company-wide keep a copy setting.
- If enabled, an original file may be retained in protected object storage and can be downloaded later.
- If disabled, Navaid can still extract and record information without retaining the original file.
This preference applies to the company, not only the next upload. Explain the retention choice to the company’s data owner.
Document history
The list shows captured uploads and their processing/storage state. Authorised administrators can remove records and, when an original was retained, download it.
Non-admin viewers may see history without upload or delete controls.
Deleting a document record or original does not automatically remove facts already synthesised from it. Review and correct the Overview separately.
Privacy and quality guidance
- Upload only material you are authorised to process.
- Remove unnecessary personal data before upload.
- Prefer current, authoritative sources.
- Do not upload secrets, credentials or private keys.
- Review AI-extracted facts for accuracy.
- Keep an external source of truth for critical company records.
Troubleshooting
Extracted facts are wrong
Edit the facts in Overview and save a corrected version. If the source document is misleading, remove it and upload a corrected source.
A file is unsupported
Convert it to PDF, DOCX, PPTX or plain text. Scanned-image PDFs may contain little extractable text.
A truncation warning appears
The extractor processed only part of the file. Split it into smaller focused documents or provide the relevant excerpt as a typed note.
Download is unavailable
The original may not have been retained, the object store may be unavailable, or you may lack admin permission. The history record can exist without a stored original.
The maturity map is missing
This is intentional. Open Maturity Map from the main navigation; readiness is no longer duplicated in Company Knowledge.
