Prompts and Prompt Lab

The active system prompt defines the advisor’s role, conversation approach, maturity-assessment instructions and output discipline. Prompt changes can alter every company’s future conversations, so only System Admins can manage them.

What the Prompts tab shows​

Open System Admin → Prompts to see the current Navaid prompt-version history. Each card identifies:

  • its version;
  • creation date;
  • whether it is active;
  • any notes saved with the version;
  • controls to preview, copy or activate it.

The list is version history, not a collaborative document editor. Existing versions are retained; there is no delete control.

Preview and copy a version​

Use Preview to inspect the complete prompt before activating or using it as a starting point. Use Copy when comparing versions outside Navaid.

Prompt contents can contain operational instructions. Store copied text only in an approved workspace and do not paste company-session data into it.

Create a version in Prompt Lab​

  1. Open System Admin → Prompts.
  2. Open Prompt Lab.
  3. Edit the prompt in the left pane.
  4. Add concise version notes explaining the intended change.
  5. Test representative conversations in the right pane.
  6. Review the simulated maturity map while testing.
  7. Select Save & Activate when satisfied.

Saving creates a new version and activates it immediately. There is no “save as inactive draft” workflow.

Refine with AI​

Prompt Lab can help refine the prompt text. Treat the result as a proposal:

  1. state the desired change narrowly;
  2. review the complete resulting prompt;
  3. check that mandatory maturity, safety and scope instructions remain;
  4. test before saving.

Do not assume a refinement preserves every guardrail.

Test conversation​

The test pane runs a temporary advisor conversation so you can examine:

  • whether the opening is clear;
  • question pacing;
  • response tone and length;
  • handling of incomplete evidence;
  • maturity signals and rationale;
  • whether requested scope is respected.

Prompt testing consumes AI capacity and is part of usage accounting. Test with synthetic company information, not confidential customer data.

Temporary Prompt Lab state​

Prompt Lab keeps in-progress state for the current browser session so accidental navigation is less disruptive. Save and Cancel clear that temporary state. Do not use it as long-term draft storage.

Activation semantics​

The advisor reads the currently active prompt when processing a turn. Therefore:

  • a new version affects new conversations;
  • it also affects the next turn in an already active conversation;
  • historical messages and completed summaries are not rewritten;
  • users may notice a tone or behaviour change mid-session.

Schedule substantial prompt changes accordingly.

Roll back​

  1. Open Prompts.
  2. Preview the known-good version.
  3. Select Activate on that version.
  4. Run a short test conversation.
  5. Record why the rollback was made.

Rollback changes which stored version is active; it does not delete the newer version.

Test checklist​

Before activation, test at least:

  • a company with no maturity profile;
  • a company with existing facts and maturity state;
  • an uncertain or evidence-poor answer;
  • a user asking for advice outside the product’s scope;
  • a focused-dimension session;
  • a document-assisted turn;
  • language and tone relevant to supported users;
  • a turn near task or maturity transition conditions.

Check the conversation and resulting maturity signals. A polished response is not sufficient if assessment behaviour regresses.

Writing useful notes​

Good version notes answer:

  • What changed?
  • Why?
  • Which scenarios were tested?
  • What outcome is expected?
  • What known limitation remains?

Avoid notes such as “updates” or “better prompt”; they make rollback decisions difficult.

Troubleshooting​

The test result differs from production​

Confirm the same version is active and compare company context, conversation history, attached documents and feature availability. Prompt Lab is a temporary test environment, not a clone of every production state.

An active conversation changed tone​

This can happen when a prompt version is activated between turns. Activate the previous version if the change is harmful, then investigate in Prompt Lab.

Save is unavailable​

Ensure the prompt and required notes are present and that your account remains a System Admin. If temporary state is corrupted, cancel and reopen Prompt Lab.
