Invite Codes

Invite codes gate creation of new Navaid accounts during controlled rollout. They are different from company invitations:

  • an invite code authorises eligible signup;
  • a company invitation offers membership in a particular company to a particular email.

Existing users do not need a code to sign in.

Create a code​

  1. Open System Admin → Invite codes.
  2. Enter optional notes that identify the cohort or purpose.
  3. Enter Max uses.
  4. Leave Max uses blank for an unlimited cohort code.
  5. Select Generate code.
  6. Copy the generated code using its code button.

The default maximum is one use. Use a limited code whenever individual issuance is practical.

Code states​

  • Active — can authorise signup while uses remain.
  • Exhausted — the capped number of successful uses has been reached.
  • Revoked — a System Admin disabled it.

The list shows used/max counts, creation date and notes.

Share safely​

Treat an active code as access-enabling information:

  • send it only to the intended recipient or cohort;
  • do not publish limited pilot codes;
  • include the correct signup URL separately;
  • avoid putting personal information in Notes;
  • revoke cohort codes when the recruitment window closes.

Signup consumption is server-side and atomic, so concurrent attempts cannot legitimately exceed the configured cap.

Revoke a code​

  1. Find an Active code.
  2. Select Revoke.
  3. Read the confirmation.
  4. Confirm.

Revocation is a soft state change: the record remains for operational history but stops authorising new signups immediately. It does not suspend accounts that already used the code.

Invitations can bypass codes​

A new user with a valid, pending email-specific company invitation can complete the signup path without a separate code. This lets company onboarding remain smooth while public signup stays controlled.

Operational patterns​

One person​

Create a single-use code with notes identifying the request or campaign reference.

Small cohort​

Create a capped code sized to the approved cohort. Monitor use and revoke it after the window.

Open pilot cohort​

An unlimited code is possible, but it has greater exposure risk. Use only with a defined expiry process because the UI does not add a time-based expiry to the code itself.

Troubleshooting​

The code is rejected​

Check for transcription errors, exhausted use count and revoked state. Generate a new code rather than trying to reactivate a revoked one.

A use count did not increase​

Only successful authorised account creation consumes a code. Existing-user sign-in does not.

An unknown person used a cohort code​

Revoke it immediately, review approved recipients and investigate the resulting account through normal administrative processes.

The clipboard action fails​

Select and copy the visible code manually. Avoid screenshots that could expose other active codes.
